HELP NOTES FOR CLIENTS

**Very Important**
a/ You must be logged in to book a tour.
b/ When making a booking, be certain you select the correct number of passengers before you search for departure dates.
c/ To move between fields, you must use either the Tab key or use the mouse - do not select Enter!

MAKING A ONE-DAY GETAWAYS BOOKING:

1. LOGGING INTO THE WEBSITE

a. New clients who have not booked online with Hagey Tours
To create a Client Account, enter the following details:
Title - use the drop down button to select Title - cannot be left blank
First Name - enter your first name (up to 25 characters) - alternatively enter an initial - cannot be left blank
Surname - enter your last name (up to 25 characters) - cannot be left blank
Address Lines - enter up to 2 lines of address - at least one line of address must be completed
Zip Code - enter your zip code - cannot be left blank
E-mail Address - enter your e-mail address - this will be used to e-mail Confirmation/Invoices - cannot be left blank. If a client already exists with an e-mail address matching the one you are entering, you will not be able to continue. Then go to the Existing User login, enter your e-mail address and request that your password be e-mailed to you.
Daytime Phone No - enter your daytime telephone number - cannot be left blank
Evening Phone No - enter an evening contact telephone number
Cell No - enter your cell number
Fax No - enter a fax number
Password - enter a password to be used for future login purposes.
Re-Type Password - re-enter the password to ensure that the password and re-typed password details match. If they do not match, you will be prompted to re-enter.
Use the check boxes at the bottom of the screen to indicate whether you are happy to be contacted by Hagey Tours with details of any future offers.

b. Existing clients who have not booked online before
We will give a temporary password for your initial access. Please contact us and supply us with your email address so, we can add it to your existing record. You can then proceed as shown below in item (4).

c. Existing clients who have previously booked online
You should enter your e-mail address and temporary password given to you to log in to the system and enter your reservation requests. If the password has been forgotten, select the option to request the password to be e-mailed to you. This is an automatic process, an e-mail will automatically be sent to you.

2. Entering your bookings

Use the menu to the left to navigate to selected tours or use the Departure Search on the right to search for tours for up to whatever number of passengers you specify.
When a specific tour is selected, the itinerary details are displayed with an option to Display Dates and Prices. The number of passengers defaults to 2 when searching. Please note if you have searched for a tour with 2 seats available and decide to enter a booking, you will only be allowed to enter 2 passengers. Make sure you select the correct number of passengers BEFORE you search for departure dates.
A list of departures will be presented showing departure date, tour title, number of days, price and then Book Now or Full. Select "Book Now" to proceed with the booking. Online instructions are given for what information is required to complete the booking. TO ABANDON A BOOKING WITHOUT MAKING PAYMENT, CHOOSE THE HAGEY LOGO AT THE TOP OF THE PAGE. IT RETURNS YOU TO THE HOME PAGE.

a. Enter the Names of each passengers
Use the drop down button to select the Passenger Title, First Name, Last name and Special Needs, such as wheelchair user, visual or hearing impairment. To move between fields, you must use either the Tab key or use the mouse - do not select Enter!

b. Enter your pick up requirements
If all passengers are boarding at the same point, use the mouse to select your Pick Up Point. If passengers are boarding at different points, use the drop down option at the top of the screen to select No. You are then presented with a list of passengers and a field to enter the pickup point for each passenger. All available pick up points will be listed on the drop down menu.
All pick-up times are listed in Military Time, ex: 20:00 = 8:00 p.m.

c. Enter your fare requirements
Choose the number of passengers for either Adult or Child fares. Child is defined as 12 years and under. The only different fares are on the Ocean City tours in July and mid-August. We offer Round-trip - same day and One Way fares. On these tours, no Child fares apply.

d. OPTIONAL Select your Meal Requirements
Some tours include meals where menu selections are required. You need to specify the total number of entrees of each type.

e. Confirmation of details
A summary of all your booking selections will be given showing the individual cost per passenger and the total cost of the booking. Should any alterations be required, use the option to go back to Previous screens to re-enter the information. If you use the option to go back, when you have corrected the booking, you will not have to re-enter the remaining information from that point onwards. You may go back to make corrections as often as you need to.

f. Booking Conditions
The Booking Conditions are displayed. To continue the booking, you must check the box at the bottom to accept them.

g. Payment
The final stage of the booking is to enter payment details. Customers must pay the full amount.
Card Type - use the drop down button to select the payment card type.
Card Number - enter the card number - cannot be left blank
Expiry Date - enter the expiry date for the card - cannot be left blank
Security Code - enter the 3 digit security number from the end of the signatory panel on the reverse of your credit card.
Card Holders Name/Address/Postcode - the name and address details will automatically be completed using the client information stored in the Hagey Tours database. The cardholder name and address details can be amended.

h. Booking Confirmation
The final screen will provide a Booking Reference number - we recommend you use the 'Print' option here - you should have a note of this reference because it will be needed if there should be any alterations to the booking, or to resolve any future questions. An immediate confirmation of your booking request will be sent out automatically by email. A copy of your Invoice, once confirmation of payment has been received, will also be emailed to you. On the next business day, we send a Confirmation/Invoice and Itinerary.

MAKING A MULTI-DAY TOURS BOOKING:

1. Logging into the website

a. New clients who have not booked online with Hagey Tours

Surname - enter your last name (up to 25 characters) - cannot be left blank

E-mail address - enter your e-mail address - this will be used to e-mail confirmation and invoices- cannot be left blank. 2. Entering your bookings

a. Enter the Names of each passenger

Use the drop down button to select the Passenger Title, First Name, Last name and Special Needs, such as wheelchair user, visual or hearing impairment. Each passenger's full name is required to make the booking. If you are travelling to Canada, the name(s) must match your Passport. Nicknames cannot be accepted, and Hagey Tours can not be responsible for any client not using their full name when leaving the country. US Customs requires a list in advance, and it will be checked upon entering and re-entering the country.

b. Enter your pick up requirements
If all passengers are boarding at the same point, use the mouse to select your Pick Up Point. If passengers are boarding at different points, use the drop down option at the top of the screen to select No. You are then presented with a list of passengers and a field to enter the pickup point for each passenger. All available pick up points will be listed on the drop down menu.

c. Enter your fare requirements
All rates are listed as per person.
Choose the number of passengers for the different rates: Single Adult (1 adult in a room), Double Adult (2 adults in a room), Triple Adult (3 adults in a room) and Quad Adult (4 adults in a room) or Double Child (1 child with 1 adult in a room), Triple Child (1 child with 2 adults in a room) and Quad Child (1 child and 3 adults in a room). Child is defined as 12 years and under.

d. Select your Accommodation Requirements for Tours
The room types available on the departure will be listed. You need to specify the total number of rooms of each type required. By default the rooms will be occupied in the order in which the names have been entered. You must list each person travelling by name.

e. Confirmation of details
